Set up passcodes and user switching in Jovvie Point of Sale

Set up user switching so several staff members can share one Jovvie Point of Sale register in Standalone or WooCommerce. With user switching, each person signs in to the same station, and their sales are recorded under their own name. You turn it on for each station.

  • Staff have user accounts that can use Point of Sale.
  • You need to be an administrator or shop manager.
  • To set another staff member’s passcode, you also need permission to edit their user profile. If you cannot open or update it, ask your administrator.

You can choose between two ways for staff to sign in, called switch types:

  • Passcode: staff pick their name and enter a 4 to 6 digit passcode. Each person needs a passcode set up first.
  • Login: staff enter their username or email and their password.

Skip this section if you use Login.

Contact Jovvie support to set up or change a staff member’s passcode in Standalone.

Staff can also change their own passcode in the register if you turn on profile editing. See Let staff edit their profile.

  1. Go to POS > Stations.
  2. Click Edit Station on the station.
  3. Open the Users tab.
  4. Under User Switch, set Enable User Switch to Enabled.
  5. Set Switch Type to Passcode or Login.
  6. Click Save.

Use these two options if you want the register to lock without staff doing anything. Both are in the same User Switch section.

  • Auto-Lock Timeout: locks the register after no activity. Choose Never, 30 seconds, 1 minute, or 5 minutes.
  • Lock After Each Sale: select Enabled to lock the register when a sale finishes.

Click Save after you change them.

When user switching is on, a staff member who is already signed in and allowed at this station can go straight into the register. In Passcode mode, this only works if they also have a passcode set up. Everyone else sees the sign-in screen, and so does everyone after the register has been locked.

  • With Passcode, staff tap their name and enter their passcode, then click Sign In.
  • With Login, staff enter their username or email and password, then click Unlock.

To lock the register by hand, open the register menu and click Lock Station. The next person then signs in.

If nobody can sign in with Passcode, the screen shows No operators available for this station.

Symptom: No staff names appear on the passcode screen.

Cause: No staff member has been set up for passcode sign-in at this station.

Fix: For WooCommerce, check that each user’s POS Operator Passcode section has Enable Passcode selected and a passcode saved. For Standalone, or if the problem continues, contact Jovvie support.
