Set up refund rules in Jovvie Point of Sale
Choose refund rules for each Jovvie Point of Sale station. You can turn refunds on or off, control restocking (putting returned items back into your stock count), ask for a passcode, and give staff refund reasons and shortcuts. Each station has its own refund rules.
Before you start
Section titled “Before you start”- You need to be an administrator or shop manager.
- Staff also need permission to refund orders. Without it, they cannot refund even when refunds are on for the station.
Open the refund settings
Section titled “Open the refund settings”- In your dashboard, go to POS > Stations.
- Find the station and click Edit Station.
- Open the Cart tab.
- Scroll to the Refunds section.
Then change the settings you need, as described in Turn refunds on or off, Require staff to choose items, Choose how restocking works, Require a passcode for refunds, Add refund reasons, and Set refund percent shortcuts. Each of these ends with Save.
Turn refunds on or off
Section titled “Turn refunds on or off”Refunds are on by default.
- Under Enable Refunds, check or uncheck Allow refunds to be processed from this station.
- Click Save.
When refunds are off, staff do not see the refund option on orders at this station.
Require staff to choose items
Section titled “Require staff to choose items”- Under Require Line Item Selection, check Require at least one line item to be selected for a refund.
- Click Save.
Staff then cannot refund just an amount. They must pick at least one item from the order. This is off by default.
Choose how restocking works
Section titled “Choose how restocking works”Refund Restock decides whether staff can put refunded items back into your stock:
- The option that starts with Off turns restocking off. Staff see no restock control, and items are never restocked. Use this if your store does not track stock.
- The default option shows one restock checkbox for the whole refund. It starts with Standalone default if you use Standalone, or WooCommerce default if your store uses WooCommerce.
- The option that starts with Per line lets staff choose which items to restock, one line at a time, on partial refunds.
- Under Refund Restock, select the option you want.
- Optional: to have the restock control checked when the refund screen opens, check Restock On by Default. This has no effect when restocking is off.
- Click Save.
Require a passcode for refunds
Section titled “Require a passcode for refunds”You can ask staff to enter a passcode before they refund.
- In Refund Passcode, enter a numeric passcode.
- Under Refund Passcode Requirement, select one of these:
- Never require Passcode (the default).
- Always require Passcode.
- Require Passcode based on conditions. See Choose when a passcode is required.
- Click Save.
Always enter a Refund Passcode if you want staff to need one. If Refund Passcode is empty, no passcode is asked for, whatever you choose under Refund Passcode Requirement.
Share the passcode only with the people who should approve refunds.
Choose when a passcode is required
Section titled “Choose when a passcode is required”With Require Passcode based on conditions, staff must enter the passcode when any one of these conditions is met. To skip a condition, leave it at its off setting.
- Days Since Order: the order is this many days old or older. Set to 0 to turn this condition off.
- Refund Amount Threshold: the refund is this amount or more. Set to 0 to turn this condition off.
- Refund Type: the kind of refund. Select Partial refunds only or Full refunds only. Select All refunds (partial and full) to turn this condition off.
- Users Requiring Passcode: choose Select, then pick the staff members who must always enter the passcode. Choose All to turn this condition off.
- Payment Gateways Requiring Passcode: choose Select, then pick the payment methods whose orders need the passcode. Choose All to turn this condition off.
Add refund reasons
Section titled “Add refund reasons”- Under Predefined Refund Reasons, add each reason in its own Reason row.
- Click Save.
Staff can pick one of these reasons when they refund. Leave the list empty to let staff type a reason instead.
Set refund percent shortcuts
Section titled “Set refund percent shortcuts”- Under Refund Percent Shortcuts, enter the percentages to show as quick buttons on each line in the refund keypad. The defaults are 25, 50, and 100.
- Click Save.
Staff can still type any amount or percentage. The buttons are shortcuts.
